Establishing a user account through the portal is necessary for new users booking online for the first time. A user account allows individuals to log in, set appointments, and manage their bookings. Additionally, it can enable family members, such as a Guardian or Parent, to manage appointments on behalf of a Dependent or Child.
Existing Patients possess Patient profiles. When an existing Patient creates a portal user account through online booking, they are displayed as New Portal Accounts on your dashboard, requiring a merge with existing profiles to avoid duplicates.
Create a Portal Account for a Patient
Follow these steps to create a portal account for Patients:
- Log in as the Admin or Practitioner.
- Click Patients (top left header).
- Select the Patient's name to invite others for appointment management.
- Click on Portal Accounts.
- Click Add User.
- Enter the Email address.
- The recipient will receive an email for setting up or logging in to accept the invitation.
- Utilize the Black Triangle to Resend the invitation, send a Link directly, or Delete the invitation.
Important Note: Merging new user accounts with existing Patient profiles is crucial. Unmerged profiles can result in duplicates. Remember, Patients must create an account to book online. However, the clinic can add them manually in Noterro if they forgo online account creation.
Create a Portal Account for a Family Member
Here's how to set up a portal account for family members:
- Log in as the Admin or Practitioner.
- Search the Family Member's name in the search bar.
- Select the Patient's name for inclusion in a Family Member Portal Account.
- Click on Portal Accounts.
- Click Add User.
- Enter the Email of the main Portal Account User (e.g., add the Parent's email to the Child's profile).
- The recipient will receive an email to set up or log in to accept the connection.
- Utilize the Black Triangle to Resend the invitation, send a Link directly, or Delete the invitation.
Important Note: Once the Parent logs into their Portal Account, they can switch between profiles—either their own or their child's—via the Profile Icon.

Is there a way for the user account to select who the appointment is for from multiple options? (Ex: Mother and young child are both patients, the mother's email address it the user account for both herself and her child. Sometimes the user account/email address login needs to schedule an appointment for mom, sometimes the same user account needs to schedule an appointment for the child)

If mother is listed as a user on her son's profile in Noterro, when she logs in for booking, she will be given an option of who she wants to book for.

Hi, right now I'm just using the software for invoicing and soap notes. I Would like to invite my clients to use the online calendar I just created. Do I have to invite individual clients or can I have a mass invite?

You could use the Bulk User Invite, but sometimes this is confusing because they do not know why they are creating a user (a user account is necessary to book online).
You could also send them to you booking page. They will be prompted to create a user account when they book for the first time. They will show up on your dashboard under Online Booking Registrations, and because they already have a profile in your clinic, you will merge them with the existing profile.

My client is saying that my calendar looks booked after January 15th. She thought I blocked for vacation. Why can't they make appointments after?
