Quickly manage a Practitioner's Waitlist and notify Patients in Noterro with ease. Whether you’re adding Patients, notifying them, or viewing the Waitlist details, ensure your account is on the Plus or Max plan to access these features.
Manage the Waitlist
Add a Patient to a Waitlist through the Calendar
- Go to the Calendar.
- Navigate to the Waitlist section on the left sidebar.
- Click the Add button.
- Select an existing Patient or choose Add New.
- Pick the Practitioner and Location.
- Set the Date Range if applicable.
- Select the Days of the Week.
- Click Save.
Add a Patient to a Waitlist through the Patient Profile Page
- Search for the Patient's name.
- Click on Waitlist from the left sidebar.
- Click Add to Waitlist.
- Select the Practitioner and Location.
- Set the Date Range if applicable.
- Select the Days of the Week.
- Click Save.
Edit a Patient's Waitlist through the Calendar
- Access the Calendar.
- Toggle on Show Waitlist from the left sidebar.
- Click on View All.
- Filter by Practitioner if needed.
- Click on the Patient’s name.
- Make the necessary changes.
- Click Save.
Edit a Patient's Waitlist through the Patient Profile Page
- Search for the Patient's name.
- Click on Waitlist from the left sidebar.
- Click on the Three Dots of the Waitlist you wish to edit.
- Choose to Edit or Delete.
- Make the necessary changes.
- Click Save.
View a Practitioner's Waitlist
- Navigate to the Calendar.
- Toggle on Show Waitlists from the left sidebar.
- Click on View All.
- Select the Practitioner’s name.
Clearing the Waitlist
Managing your waitlist ensures efficiency and organization in your practice. If you need to clear an entry from the waitlist, please follow the steps below.
- Log in to your Portal.
- Navigate to the Waitlist tab.
- Find the entry you wish to remove.
- Click Edit on the selected entry.
- Scroll down to the bottom of the page.
- Click Delete waitlist.
Be aware that deleting a waitlist entry is a permanent action and cannot be undone. Please ensure you have selected the correct entry before proceeding with deletion.
Notify a Patient of Availability
- Go to the Calendar.
- Toggle on Show Waitlist from the left sidebar.
- Click on the Patient’s name to notify them individually.
- Alternatively, click Notify in the Calendar header to contact multiple Practitioners.
- Choose Notify in the Practitioner's match list to inform Patients on that Practitioner’s list.
- Confirm any changes.
- Click Email to send notifications.
Important Note: Communication via email or phone is available for patients on the waitlist; text message notifications are not supported at this time. To ensure privacy, patients notified from the waitlist will not be able to see each other's email addresses.

What an awesome feature! Is there a way for clients to add themselves to the waitlist for their ideal time slots within their user account?

Wonderful--another thing that would be helpful would be a calendar "invite" type of function. Meaning, I may not want to open my availability to all clients, but if I could specifically send an invite quickly (versus texting or emailing) to a client to accept within Noterro announcing to them, "hey I can do Thursday at 6:00 if you're interested." I guess this would work similarly to inviting someone to an event in standard calendars. Or perhaps on the availability management side of customization--having available appointments to a limited range of clients.

You can do what you are describing now. When the waitlist list is displayed, you can select just an individual, or when you do select Notify, within that list, you can eliminate people you do not want to notify.

Oh yes I understand that function--but that is in the context of the availability being posted online. Cancellation comes in, you notify waitlist, in the interim someone could conceivably book that spot online that you wanted reserved for that one person, correct? I was thinking a way to invite and/or make the actual availability limited as well. Hopefully that makes sense?

We love the waitlist!
But it suddenly has now sorted the waitlist in alphabetical order versus when they were added to the waitlist. Is there a way to sort it back to when they were added?
