Learn how to manage practitioner online booking settings effectively, optimizing scheduling and maintaining control over appointment availability.
Adjusting Practitioner Online Booking Settings as the Admin
- Click the Gear icon (top-right header).
- Click Base Setup.
- Select Practitioners.
- Click the Three Dots next to the Practitioner's Name.
- Click Edit and scroll down to Calendar & Online Booking.
- Adjust the Scheduling Options: Allow Cancellation, Cluster Bookings, Minimum Notice, Rolling Availability, and Daily Limits.
- Click Save.
Adjusting Online Booking Settings as a Practitioner
- Click either your Photo or Initials (top-right header).
- Go to the Calendar.
- Click Scheduling Limits or Cancellations.
- Adjust Cancellations and Scheduling Options such as Lead Times, Daily Limits & Cluster Booking.
- Click Save.
Definitions
Cancellation
When allowing patients to cancel their appointments, you must set a minimum notice, usually measured in hours. Patients cannot book or cancel within this window.
Cluster Booking
Cluster Booking in Noterro helps practitioners avoid gaps in their schedule by requiring patients to book appointments directly before or after existing ones. With this feature enabled, the practitioner’s full day is initially available for booking. Once the first appointment is scheduled, any additional appointments must be placed immediately before or after, creating clusters of consecutive bookings. This keeps schedules streamlined, optimizes time, and supports more efficient use of working hours.
Daily Limits
Daily limits help control online booking volume. You can set:
- A maximum number of appointments per day
- A maximum number of hours per day
If both are set, the first limit reached will prevent additional online bookings.
Important Note: Minimum Lead Time is the amount of time before a patient can book an online appointment, and Maximum Lead Time is the rolling number of days or weeks your calendar will display. Cluster Bookings allows appointments to be booked close together to help make your calendar look busier or group appointments together to avoid schedule gaps.
