When scheduling telehealth or virtual appointments, you can use a common meeting link. Enabling the Waiting Room feature in your video conferencing software (e.g., Google Meet, Zoom, Microsoft Teams) ensures a seamless experience.

Steps to Schedule Telehealth Appointments

1. Create an appropriate Service so Patients know it is a virtual appointment (e.g., Virtual Consult).
2. Click on the Gear icon in the top right header.
3. Click on Templates.
4. Click on Notifications and scroll to Appointments.
5. Update the New Appointment and the Appointment Reminder emails to include the meeting link.
6. Add a line to the notifications about the virtual appointment link (e.g., "If this is a virtual appointment, please click here to join the meeting.")
7. Highlight "click here," click on the link icon in the formatting tools, and add your common meeting link.

Steps to Schedule Telehealth Class

1. Create an appropriate Service so Patients know it is a virtual class (e.g., Virtual Training).
2. Click on the Gear icon in the top right header.
3. Click on Templates.
4. Click on Notifications and scroll down to Classes.
5. Update the Class Participant Booked and Class Reminder emails or messages to include the meeting link.
6. Add a line to the notifications about the virtual class link (e.g., "If this is a virtual class, please click here to join the meeting.")
7. Highlight "click here," click on the link icon in the formatting tools, and add your common meeting link.

Practitioners with Different Virtual Appointment Links

If each Practitioner has a different virtual appointment link, use dynamic links in your Notification Templates to link to specific Practitioners' URLs.

Creating Tiny URL Redirects for Each Practitioner

1. Go to tinyurl.com and create a shortened URL for each Practitioner's virtual appointment link using their first name.

2. For the alias, use a format like noterro-bob, where "bob" represents the practitioner's first name.

    

3. Update your appointment notifications in Noterro to include the TinyURL redirect format: https://tinyurl.com/noterro-[Practitioner's First Name].
4. Ensure the Patient's email automatically renders this as a link with the Practitioner's name in the URL, which redirects to their virtual appointment link.

By following these steps, you can efficiently manage telehealth appointments for both classes and individual consultations, ensuring a smooth and personalized experience for your patients.
