Configure your clinic's online booking settings to enhance patient booking experience and streamline your scheduling management.
Configuration for Online Booking in the Web Portal
Decide whether to enable or disable online booking for your patients, and set preferences for allowing new patients to book services.
- Click on the Gear icon (top right header).
- Select Web Portal & App from the dropdown menu.
- Scroll to Features and turn Online Booking on or off.
Important note: Additional Online Booking settings can be adjusted by navigating to the Online Booking section in the Web Portal & App menu.
Online Booking Increments
Define the time intervals for booking appointments through the Web Portal & App to effectively manage your schedule. Consider using the most popular service duration plus recovery time, or the shortest service duration plus recovery time. For example, set a 75-minute increment for a 60-minute treatment and 15-minute recovery time.
- Click on the Gear icon (top right header).
- Select Web Portal & App from the dropdown menu.
- Scroll down to the Online Booking section.
- Locate Online Booking Increments.
- Click on the Dropdown menu.
- Select the desired Increment.
- Click Save at the bottom of the page.
Important note: Customize the "No Bookable Time Message" to provide patients with information when no times are available for booking. A sample message is provided but can be tailored to fit your clinic.
Online Booking Agreement Policy
Create an Online Booking Agreement Policy to ensure patients agree to specific terms and conditions before booking appointments. An Agreement must be created first and cannot require a signature to qualify for online booking.
- Click on the Gear icon (top right header).
- Select Web Portal & App from the dropdown menu.
- Scroll down to the Online Booking section.
- Locate Online Booking Agreement Policy.
- Click on the Dropdown menu.
- Select the desired Agreement.
- Click Save at the bottom of page.
Important note: If you do not see a Dropdown menu, an Agreement needs to be created.
Online Booking Payment Policy
Establish an Online Booking Payment Policy if upfront payment is required for appointments booked via the Web Portal & App. Ensure that you are connected to a Square or Shift4 (formerly Worldline/Bambora) payment processor in Noterro. The four payment options include:
- No credit card required to book an appointment.
- A credit is required to book an appointment.
- A deposit is required to book an appointment.
- Full payment is required to book an appointment.
This policy ensures patients understand payment terms before confirming appointments.
- Click on the Gear icon (top right header).
- Select Web Portal & App from the dropdown menu.
- Scroll down to the Online Booking section.
- Locate Payment Processing.
- Click on the Dropdown menu.
- Select a Default Payment Policy.
- Click Save at the bottom of the page.
