The Capacity Limits section helps you track how your clinic is using system resources such as file storage, SMS, and call reminders. Both the Plus Plan and the Max Plan come with a base capacity for these services. If you need more capacity, simply click the pencil icon beside the resource to increase your limit. If you previously added extra capacity and would like to downgrade, please contact Customer Support to adjust the limits on your account.
Understanding SMS Segments
Text messages are sent in segments, not as a single message. A segment is a portion of a text message. Short messages typically use a single segment, while longer messages are automatically split into multiple segments. For example:
- A short reminder may use 1 segment
- A longer reminder could use 2 or 3 segments
Each segment counts toward your SMS capacity. This means longer reminder messages will consume your SMS capacity more quickly than shorter messages.
Understanding the 30-Day Rolling Capacity
SMS reminders and call reminders operate on a rolling 30-day capacity, rather than resetting on your billing date. This means the system always looks at how much capacity has been used in the past 30 days. As messages move beyond the 30-day window, that capacity becomes available again.
Example
If you send 100 SMS segments today, those segments will count toward your capacity for the next 30 days. Once those 30 days pass, those 100 segments are removed from the usage count and your available capacity increases. Because of this rolling window, capacity gradually becomes available again over time, rather than resetting all at once each month.
