You can manage your calendar settings for online booking and sync your Noterro calendar with an external calendar. Noterro offers the necessary tools for managing your calendar. Let's explore each of these actions in detail.
Google Calendar Sync
Connect your Noterro account to Google Calendar and view your Noterro appointments within your Google Calendar. This direct integration is not subject to the typical "24-hour delay" that Google Calendar would have using a Subscribed Calendar sync method.
- Log in as a Practitioner.
- Click your Profile Picture or Initials in the top right header.
- Click on Calendar.
- Scroll to the Google Calendar section.
- Click Connect to Google (if it is connected and you want to disconnect the Google calendar, click Disconnect).
- Sign in to your Google Account.
- Click Allow.
- Choose your Calendar (if applicable).
- Optional: Check Enable 2-Way Sync and Display Events if you would like to see your Google Events in your Noterro Calendar.
Google Calendar Two-Way Sync
The events in your Google Calendar will be represented in Noterro, allowing you to avoid conflicts in your schedule. Other staff members will see that your time is blocked, but won't see details about the event. New connections will display all future events from your Noterro calendar and historical ones (maximum 30 days ago). "Busy" events in your Google calendar will prevent appointment conflicts in your Noterro calendar.
Sync with Other Calendars
Calendar apps like Apple Calendar and Microsoft Outlook can also display your Noterro Calendar appointments, group bookings, and breaks. Generate a link to view your appointments in your preferred calendar app. The external calendar is a one-way sync, so you will see your appointments in your external calendar and need to log in to Noterro to update your calendar.
- Log in as a Practitioner.
- Click your Profile Picture or Initials in the top right header.
- Click on Calendar.
- Scroll to the Sync section.
- Click Generate Link.
- Click Copy Link.
Important Note: Keep this link private. If you suspect exposure, it is recommended you click Remove Link and generate a new link for your calendars. Each external calendar program is slightly different. Please follow the specific guide for your platform: Google Calendar, Calendar for Mac, Calendar for iOS (iPhone or iPad), Microsoft Outlook.
Manage Appointment Cancellations
Practitioners have the option to allow patients to cancel their appointments. In addition, the Practitioner can specify how many hours before the appointment can be cancelled. If a Patient cancels, the Practitioner can receive an email notification.
- Log in as a Practitioner.
- Click your Profile Picture or Initials (top right).
- Click on Calendar.
- Scroll to the Cancellations section.
- Check Allow Cancellations.
- Set Hours.
- Click Save.
Managing Online Booking Scheduling Limits
To manage your Online Booking Scheduling Limits, follow these steps:
- Login as a Practitioner.
- Click your Profile Picture or Initials (top right).
- Click on Calendar.
- Click on Scheduling Limits.
- Update your Settings.
- Click Save.
Each Practitioner can set limits on how online booking allows appointments to be booked, including:
- Minimum Lead Time: The minimum amount of time or notice before Patients can book an appointment online.
- Maximum Lead Time: The rolling number of days or weeks into the future your calendar will be displayed for online booking.
- Maximum Appointments per Day: The maximum number of appointments you allow to be booked in a single day.
- Maximum Hours per Day: The maximum number of daily treatment hours booked.
- Cluster Bookings: When you have appointments and breaks booked in your calendar, Cluster Bookings will ensure Patients book adjacent to these existing appointments and breaks.
Important Note: The hours booked are based on treatment time. A 60-minute treatment with 15 minutes of recovery will only count as 60 minutes towards your daily maximum. All scheduling limits are specific to a Practitioner, so each Practitioner at the same clinic can have different minimum and maximum lead times.
