Setting Up Your Online Portal: Access and Form Fields

When setting up your online portal, the first configuration to choose is access type. You'll need to decide who can create an account and book appointments.

Access Type Options

Public Access

Enable public access if you want anyone visiting your portal to create an account and book appointments.

Require Invitation

If you prefer to control who can access the portal, choose Require Invitation. Clients can create an account only after you send them an invitation link.

Choosing Form Fields

Clients must create a portal account before booking an appointment. The goal is to keep this process as simple as possible. At a minimum, the portal requires:

• Name
• Email address

If you use intake forms, it’s best to collect most client information there. Clients are generally more willing to complete detailed information when filling out an intake form rather than during account setup.

If you do not use intake forms, you may want to add additional fields during portal account creation. A recommended field is:

• Mobile phone number — This provides another way to contact the client if their email is entered incorrectly.

Keeping the portal setup simple helps reduce friction and allows clients to create their accounts quickly.
